This policy explains the terms and conditions for renting vehicles arranged through KL Short Term Rentals. It is designed to be clear and transparent so renters understand their responsibilities, optional protections available, and how fees are applied.
1. Deposit
A security deposit is required for every rental. The deposit amount depends on the vehicle category (make/model), the selected insurance package and the rental agreement. Typical ranges are shown in the table below.
Purpose of the deposit

Security against damage, fines/summons, unpaid tolls, parking fines, fuel shortfalls or other additional charges.

Held as a temporary guarantee and refunded after the vehicle inspection at the end of the rental (subject to terms below).
Accepted payment methods

Touch ‘n Go, PayNow, bank transfer or card payments (subject to provider fees).
Refund
-
Deposits are refunded within 14–21 business days after vehicle return, following inspection and clearance of any fines or charges.

If there are fines, damages, or additional charges, the net amount will be deducted from the deposit and the balance refunded.
Note on deposit vs rental cost

Deposit amounts are independent of rental duration but may appear proportionally smaller on long rentals. A short rental’s deposit may be close to (or exceed) the cost of a single day’s rental for premium models, while on longer rentals the deposit can represent a smaller fraction of the total rental cost. Deposit levels are primarily determined by vehicle risk profile (luxury vs compact), not by the number of days.
2. APC (Accident Protection Cover) — Optional Add-On
APC is an optional protection plan that reduces or eliminates your out-of-pocket liability for certain types of damage. APC is a non-refundable add-on charged per rental.
What APC covers

Damages caused by collisions or accidents to the vehicle body, glass, windshield, tires, undercarriage (subject to policy limits).

Reduces the renter’s deductible to RM 0 up to the APC coverage limit stated by the tier.

APC exclusions (examples)

Driving under the influence of alcohol or drugs.

Use by unauthorized drivers not listed in the agreement.

Negligence (leaving keys inside, unlocked vehicle).

Driving off-road or in prohibited areas.

Third-party liability (APC typically covers only vehicle damage; third-party claims may be insured separately).

Any claims are subject to inspection and approval by the rental company’s insurer.
Recommendation

For maximum protection, we recommend adding APC, especially for luxury vehicles or if you prefer minimal out-of-pocket exposure. APC fees are non-refundable.
3. Fuel

Vehicles are provided with the fuel level indicated at handover. Unless otherwise agreed, the renter must return the vehicle with the same fuel level.

If the vehicle is returned with a lower fuel level, the renter will be charged for refueling at a market rate plus an administrative refueling fee.

Pre-purchase fuel options may be available; these are non-refundable and details are provided at booking.
4. Driver’s Licence & Age Requirements

Renters must present a valid government-issued driving licence. International drivers may need an International Driving Permit (IDP) or a valid local driving licence check requirements based on nationality.

Minimum age and driving experience (e.g., minimum 21 years and 2 years driving experience) may apply and vary by vehicle category; luxury cars often have higher age and experience requirements.

All drivers must be named on the rental agreement. Unauthorized drivers are not covered by insurance.
5. Mileage

Standard rentals include a daily or per-rental mileage allowance. Exceeding the allowance will incur extra charges per kilometre/mile as stated in the rental agreement.

Unlimited mileage options may be available at additional cost; check the rental terms before confirming.
6. Buffer Time / Late Return

Return times are specified in the rental agreement. A grace period may apply (example: 30–60 minutes) but this is at the rental company’s discretion.

Late returns may incur hourly or full-day charges depending on the delay and vehicle availability.

Early returns do not necessarily result in refunds for unused days unless otherwise agreed.
7. Cleaning Fee

A reasonable cleaning fee may be charged if the vehicle is returned excessively dirty, has strong odours (smoke, pets), or requires deep cleaning. The amount depends on extent of cleaning and is charged at the rental company’s reasonable rates.

Normal, light cleaning is expected and not charged.
8. Cancellation Policy

Cancellation terms vary by booking type and rental partner. Typical conditions:

Free cancellation up to a specified period before pickup (e.g., 48–72 hours).

Cancellations within 48 hours of pickup may incur a cancellation fee or loss of deposit.

No-show or last-minute cancellations may forfeit deposit and incur additional charges.

Exact cancellation terms will be stated in your rental confirmation.
9. Rental Vehicle Insurance Policy (Standard Insurance)

Vehicles are covered under the rental company’s insurance policy for damage and third-party liability as per local law.

Under Standard Insurance, the renter may still be liable for an excess/deductible amount in case of an approved claim — this excess can be substantial depending on the insurer and vehicle (ranges are outlined in the agreement).

APC (described above) reduces or eliminates the deductible up to the APC coverage limits.
10. Responsibility for Traffic Fines and Summons

Renters are responsible for all traffic fines, parking tickets, and summons incurred during the rental period.

The rental company may charge administration fees for handling fines or overdue penalty settlements.
11. Damage Assessment & Claims

On return, the vehicle will be inspected for damage. Any new damage will be assessed and charged to the renter.

Claims and damages are processed according to the insurer’s procedure and are subject to inspection and approval.
12. Authorized Use & Restrictions
-
Vehicles must not be used for illegal activities, motor racing, off-road use (unless vehicle intended for such use), or driven by unauthorized persons.

Taking the vehicle outside the country requires prior written approval and may be prohibited.
13. Terms Summary & Examples
Example 1 — Short luxury rental (3 days)

Daily rent total: RM800 × 3 = RM2,400

Deposit required: RM2,000 (refundable)

APC optional: RM150/day (non-refundable)
Even though the deposit (RM2,000) is significant, it protects the owner and is separate from rental charges. APC may be recommended to reduce excess.
Example 2 — Month-long compact car rental

Monthly rent total: RM3,000

Deposit required: RM1,000 (refundable)
Because the deposit is fixed by vehicle type and risk, the deposit may represent a much smaller share of the total rental cost for longer bookings.
14. How to Book & Contact

To book, provide your full name, contact details, copy of driving license, rental dates, and any special requests. We will confirm the quote, deposit amount and any APC options before asking for payment.

Payments accepted: Touch ‘n Go, PayNow, bank transfer, debit/credit card (subject to provider fees).

After payment and confirmation, you will receive a rental agreement and pickup instructions.
15. Final Notes

We reserve the right to refuse rental to any person who does not meet the minimum requirements or who fails background checks.
